We are seeking a highly organized, efficient, and proactive Executive Operations Officer to provide high-level administrative support to the CEO of Pioneer Bank. The successful candidate will play a pivotal role in facilitating the smooth operation of the executive office, managing complex schedules, communications, and providing assistance on strategic projects. Key Responsibilities:

- Provide a broad range of administrative support to the President/CEO in carrying out his duties including: assisting with special projects; collecting and preparing information for meetings with staff and outside parties.
- Manage and optimize the CEO’s calendar, ensuring effective time management and prioritization of meetings, calls, and appointments.
- Liaise with senior executives, board members, clients, and other key stakeholders to facilitate communication and follow-ups.
- Prepare agendas for meetings, take minutes, and ensure action items are tracked and completed.
- Manage incoming and outgoing communications, ensuring they are handled promptly and professionally.
- Assist in the planning and execution of strategic initiatives, including overseeing timelines and deliverables.
- Conduct research and compile reports as needed for various internal and external projects.
- Help to organize and prepare for board meetings, executive retreats, and other high-level corporate events.
- Handle sensitive information with the highest degree of confidentiality and professionalism.
- Ensure that all information utilized by the CEO is kept organized, current, and secure.
- Acts as the CEO’s representative or liaison, as directed. Serve as a primary point of contact for internal and external constituencies on matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect CEO’s style and organization policy.
- Act as a counselor and advisor to the CEO on bank related matters. Work closely with the CEO to keep him well informed of upcoming commitments and responsibilities, and following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated.
- Assists the Executive Assistant to the President/CEO with shareholder related activities and stock transfers. Create and update the corporation’s Shareholder Database. Maintains the OTC stock portal. Monitors the corporation’s stock trends.
- Manage logistics for conferences, seminars, and corporate events that involve the CEO.
- Assist the Executive Assistant to the President/CEO in providing support to the Board of Directors. Serve as the Clerk of the Board in the absence of the Executive Assistant.
- Attend senior staff meetings and provide staff support for the meetings.
- Organize internal and external events for the CEO, including company-wide meetings, lunches, and off-site events.
Education: Bachelor’s or Associate’s degree (preferred).
